The Parents' Association of the European School of Evere & Woluwe is looking for a Financial & Administrative Manager to join our dynamic team.

About Us

APEEE Bxl II is a non-profit association (AISBL) dedicated to serving services to pupils, parents, and teachers of the European School Brussels (EEB2). With around 4000 pupils across two school sites , we provide essential services such as transportation (140 daily bus lines), canteen & cafeterias, and extra-curricular activities.

APEEE Bxl II employs 26 persons on permanents basis and works with around 250 on part time and temporary basis. The business is located on two sites Woluwe-Saint-Lambert and Evere, and has a turnover of ~10Me.

The association has grown strongly over the last years and has invested in digitalizing its service provision. Exact Online suite, Salesforce have been chosen as basis for that work. The association is an AISBL structured under Belgian company law.

What we seek

We seek a Financial & Administrative Manager to join our Management team.

The Financial & Administrative Manager takes the key responsibility of financial management of the business. He/she will run the payment and invoicing processes together with the Director and the line managers. He/she will also develop and adapt these services to meet new needs. 

The Financial & Administrative Manager is part of the management team that develops the business as a whole and the Manager is expected to take part of managing the business development as part of the team He/she should be prepared to take various roles in the general management.


Vos responsabilités

Key Responsibilities

  • Financial Management: Oversee all financial aspects including accounting, invoicing, payment processes, and liquidity management. Conduct financial analysis, budgeting, projection, and ensure the sound financial basis of the association.
  • Legal Management: Handle legal matters, when needed, with support from external consultancy. This includes managing contracts, basic risk assessment, and addressing personnel-related issues.
  • Budget Management: Work closely with service managers to forecast budgets,  ensure alignment with organizational goals, monitor expenses, etc.
  • Revenue Management: Manage invoicing processes, monitor and steer the development of IT projects related to the association’s business, account for all income, actively monitor payment delays, etc..
  • Expense Management: Account for expenses, prepare payments according to association procedures, manage bank accounts, process documents from the social secretariat, and provide useful analyses for human resources management.
  • Legal and Financial Obligations: Fulfil all legal and financial obligations of the association including preparing VAT declarations, annual tax submissions, and collaborating on annual audits.

Votre profil

  • You have a degree in accounting from higher education, university, or relevant experience in a similar role,
  • You master the legal obligations inherent in the Companies Code,
  • You master a mainstream accounting tool (eg. Exact Online),
  • You master Excel and other OFFICE tools perfectly,
  • You easily adapt to other computer tools (experience with Salesforce and/or other CRM packages is an asset),
  • You understand and know the importance of project management,
  • You are very conscious of the importance IT systems and how IT can help leverage and drive a modern business,
  • You have excellent communication and organizational skills,
  • You can independently handle and resolve problems, seek alternatives, and implement solutions,
  • You are a positive, autonomous, dynamic, flexible person, and you show initiative,
  • You can work independently as well as in a team and with precision under stress,
  • You are rigorous, have a good sense of organization, and can set priorities,
  • You speak French at level C2 and can use English as a working language. A third European language would be an asset.
